SafetyTransWave – Terms and Conditions
At SafetyTransWave, we stand behind our services with unwavering commitment to quality and punctuality.
Your satisfaction is our priority. If you find any aspect of our service unsatisfactory, we will swiftly provide a revised version at our expense. If, after this, you remain dissatisfied, you have the right to request a partial or full refund. The conditions and procedure for contesting a service are elaborated below.
General Sales Policies
These general sales policies are universally applicable to all services provided by SafetyTransWave to our valued clients.
- All requests for translation services must be accompanied by an order containing the agreed-upon price. Orders can be submitted via regular mail, email, or fax. We maintain the right to decline any service request that lacks an order.
- Technical documents should be supplemented with reference materials provided by the client, including any relevant drawings or diagrams to enhance comprehension.
- The cost of a translation is determined by the word count in the source language, unless otherwise established in writing.
- In cases where a client cancels an order, all work already initiated will be invoiced at 100%, while suspended work will be billed at 50%.
- Unless otherwise specified, all invoices must be settled within five business days from the date of issuance.
- Failure to make timely payments will result in immediate collection of the entire outstanding amount from the client, without prior notice. SafetyTransWave reserves the right to charge interest based on the official rate of Bulgaria in effect at the time of late payment. Additionally, the client is responsible for reimbursing any expenses incurred by SafetyTransWave to resolve the matter.
- Any ongoing work or pending orders will be paused in the event of late payment.
Service Quality
SafetyTransWave is committed to delivering translations of the highest quality. However, please note that for advertising and promotional content, our services are limited to straightforward translation unless otherwise specified. We are not responsible for adapting translated text into a different advertising style from the source text. Our liability is limited to the amount specified on the invoice.
Translation Service Delivery Timeframes
We ensure timely delivery of our translation services tailored to the document’s complexity. The table below outlines the estimated delivery time based on the document size and type:

Complaints
Complaints will be considered only if they are sent via registered mail with a return receipt within seven days of receiving the service or part of the service. All complaints must be accompanied by the original documents, disputed translations, and a letter explaining the issue. Once this timeframe has elapsed, the translation will be deemed correct.
Resolution of Complaints
For unsatisfied clients who file a complaint within the specified timeframes, SafetyTransWave, at our own expense, commits to delivering a revised version of the disputed service within a period equal to one-third of the previously agreed-upon duration, plus one business day. The quality of this second version will be assessed to determine the reimbursement amount, at SafetyTransWave’s discretion.
External Delays
SafetyTransWave is not liable for delays caused by malfunctions of external communication tools such as faxes, modems, email, or other postal or courier services beyond our direct control.
Late Delivery
In cases of late delivery where the delay exceeds one-third of the agreed-upon delivery time and is solely attributable to SafetyTransWave, reimbursement will be negotiated between the parties, up to 100% of the late-delivered service cost.
Service Defects
The presence of defects in one part of the service does not justify questioning the entire service. SafetyTransWave reserves the right to make adjustments to the service in such instances.
Legal Agreements and Jurisdiction
Agreements between the parties shall be considered legally binding only if executed in writing. In case of any disputes, they shall be subject to the jurisdiction of the competent courts in Poland. Non-payment may result in legal proceedings, including but not limited to claims for copyright infringement, against clients who use materials without fulfilling payment obligations.
Liability
SafetyTransWave and any affiliated suppliers do not acknowledge any guarantee or condition regarding the services offered. This includes all implicit guarantees and conditions concerning salability, suitability for specific purposes, ownership, and non-violation of third-party rights. SafetyTransWave and affiliated suppliers are not liable for special, indirect, or consequential damages or any other damages arising from the loss of usage rights, loss of information, or lost profits. Such damages may result from contract performance, negligence, or other detrimental actions related to or connected with SafetyTransWave’s services.
Content Guidelines
At SafetyTransWave, we prioritize the safety and well-being of our workforce, which includes our staff and freelancers.
We strictly prohibit the spread of hateful and derogatory content, including violent and graphic material. We reserve the right to reject any order that contains violent or inappropriate content.
We acknowledge that clients may require the translation of potentially harmful content for educational or professional purposes, including graphic, violent, or sensitive material.
Refund Policy
We are dedicated to your satisfaction and to providing high-quality translation services. If, for any reason, you are not satisfied with the service you have received, we offer a 14-day refund policy.
Refund Eligibility
To be eligible for a refund, please contact us within 14 days of receiving your translation. The request for a refund should include:
- The reason for dissatisfaction.
- Any specific instances where the translation did not meet your expectations.
We will review your request and work with you to resolve any issues. Our goal is to provide translations that meet your needs, and we appreciate the opportunity to correct any problems.
Review Process
Upon receiving your refund request, we will examine the concerns regarding the translation services provided. This review process aims to understand your feedback and identify any areas where our services may not have met our high standards.
Refund Approval
If your refund request is approved, we will initiate a refund to your original method of payment. You will be notified of the approval and can expect the refund within a specified period, depending on your payment provider’s policies.
Exceptions
Please note that certain services may be exempt from refunds if the work has already been completed and delivered in accordance with the service agreement. We encourage open communication during the translation process to ensure that the final product aligns with your expectations.
For services where revisions or corrections are possible, we prefer to first attempt to resolve any issues to your satisfaction before processing a refund.
Partial Cancellation
We do permit partial cancellations for certain services that are no longer required, provided the following conditions are met:
- The request has not been executed, such as for physical copies when electronic versions are sufficient. A refund for the hard copy cost can be provided if the translation has not been dispatched.
- The cancellation request is submitted via email to the person in charge of your project.
Interpretation Services
Please be aware of our cancellation policies for interpretation services:
- Cancellations made within 3 days of the project will incur a 50% cancellation fee.
- Cancellations made within 24 hours of the scheduled job will result in a 100% cancellation fee.
Edits
Requests for edits, including name spellings, word preferences, or synonyms not initially provided during the translation order, as well as corrections for unclear words identified during a scan, are accepted. SafetyTransWave promptly addresses such edit requests. You can request edits for our translations as often as necessary. However, please note that edit requests do not qualify for cashback or refunds.
Mistranslations or Errors
Our commitment is to consistently deliver accurate translations. We maintain a quality control process to ensure our translations are of high quality and free from errors or mistranslations. If you come across any mistranslations or errors in your translated document, please inform us immediately so we can rectify the issue.
Provisions:
- Refunds will not be issued if you did not provide word preferences or name spellings in advance.
- If a mistranslation or error is due to our oversight and failure to meet quality standards, you can reject the translation and request a refund.
- Refunds will be considered if the error resulted from our failure to adequately proofread the translated document. The refund amount will be determined based on the degree of compromised quality. We are not liable beyond correcting errors or providing refunds.
Missing Pages
Despite our rigorous quality control process, instances of missing sections or pages may occur. If you receive a translation with omissions, promptly notify us via phone, email, or online chat. We will promptly rectify the omission. You can choose to reject the translation of the missing part or request a partial refund proportional to the missing content.
Formatting:
If you fail to provide a clear scan of the source document or have not opted for desktop publishing (DTP), we cannot ensure an exact format match with the original. In such cases, refunds cannot be provided. Plain text translation will be offered if the scanned image is unclear.
Delivery Delays
To ensure accuracy, each translation project undergoes strict workflow and quality assurance procedures. Our delivery times, based on 2,000 words per day, are specified in each quote. Conditions for refunds due to delivery delays are as follows:
- Less than 12 hours delay from the agreed time: 10% refund
- Delays exceeding 24 hours from the agreed submission time: 15% refund
- Projects exceeding 5,000 words are subject to individual discussion.
